Executive Director & Pantry Manager

The Good Samaritan Food Pantry located in Adel, Iowa is looking for an Executive Director & Pantry Manager who is passionate about our mission to lend a helping hand by providing access to basic needs while offering connection and hope. Reporting to the Board of Directors, the Executive Director & Pantry Manager will oversee the organization’s strategic objectives, day-to-day operations, pantry management, volunteer management, fundraising, and community relations. The position requires excellent communication skills and frequent contact with volunteers, vendors, donors, the board, and the public.

Our ideal candidate will be a motivational leader with a proven track record in nonprofit management. The Executive Director & Pantry Manager will be a strategic thinker who is able to balance short-term needs with long-term planning. As the organization’s first executive director and only employee, relationships and community involvement are essential to the success of this position.

Job Responsibilities include, but are not limited to:

Operational Management

  • Partner with the Board to assure that the organization has a long-range strategy which achieves its mission and toward which it makes consistent and timely progress.
  • Provide partnership in developing program, organizational and financial plans with the Board of Directors, and carry out plans and policies authorized by the Board.
  • Promote active and broad participation by volunteers in all areas of the organization’s work.
  • Maintain official records and documents per retention policies, and ensure compliance with federal, state and local regulations.
  • Develop and administer operational policies and guidelines to supplement the Board’s policies and procedures for Good Samaritan Food Pantry.
  • Oversee the design, marketing, promotion, delivery and quality of programs, products and services. This includes food supply, access, distribution, and all duties as outlined in addendum A. Develop and maintain a system, process, or a database accounting for all food processed through the pantry.
  • Oversee the facility maintenance to ensure a safe and clean working environment for employees and volunteers, and that equipment is adequately maintained and kept current to process inventory.
  • Oversee recruiting and management of the volunteer program. Motivate, evaluate and retain volunteers to produce strong organizational results.
  • Attend networking meetings and events, including but not limited to the Food Bank of Iowa Partnership Conference and the Suburban Pantry Meet up.
  • Should the organization’s operations increase to the point that additional employees are needed, the Executive Director will manage the organization’s staff. Responsibilities include recruiting, hiring, performance management, compensation, and recommendations for discharge. The ED will partner with the Executive Committee as required to complete these tasks.

Marketing and Communications

  • Work closely with the Board and Committee chairs.
  • Maintain a working knowledge of significant developments and trends in the field.
  • See that the Board is kept fully informed on the condition of the organization and all-important factors influencing it.
  • Publicize the activities of the organization, its programs, and goals in partnership with the External Affairs Committee.
  • Establish sound working relationships and cooperative relationships with community groups and organizations.
  • Represent the program and point of view of the organization to agencies, organizations, and the public.
  • Work with the appropriate committees to ensure a robust Website, periodic newsletter distribution, and the annual impact report summarizing the organization’s accomplishments and recognizes its volunteers and financial donors.

Budget and Finance

  • Be responsible for developing and maintaining sound financial, ethical, and legal business practices.
  • Work with the treasurer and the Board in preparing a budget; see that the organization operates within budget guidelines.
  • Coordinate with the president and secretary of the Board, regarding official correspondence of the organization, and work with those necessary to execute legal documents, as requested by the Board.
  • Complete and present operational updates and reporting to the Board.

Fund Development

  • Work in collaboration with the External Affairs Committee to create and execute an annual fundraising plan. Plan is to be submitted and approved by the Board each year.
  • Actively seek funding opportunities. This may include grant writing, donor interactions, financial campaign development and management.
  • Serve as a standing ex-officio member of the External Affairs Committee
  • Work closely with the treasurer to understand budget projections so that the fundraising plan aligns to meeting those needs.
  • Implement the fundraising plan in an ethical manner and oversee staff/volunteers responsible for data entry and gift processing.
  • Provide regular updates to the Executive Committee and to the Board when it conducts meetings.
  • Develop and nurture ongoing relationships with major donors.
  • Create and execute a strategy for a large sustained base of annual individual donors.
  • Oversee organization and execution of special events.
  • Develop and track proposals and reports for all foundation and corporate fundraising.
  • Monitor trends in the community and region and adapt fundraising strategies as necessary.

Board Relations

  • Assist the Board Chair in planning the agenda and materials for Board meetings.
  • Initiate and assist in developing policy recommendations and in setting priorities.
  • Assist the Governance Committee in the orientation of new board members.
  • Attend or delegate others to attend GSFP Board committees as needed.

  • Ability to communicate effectively with staff, volunteers, clients of the organization, the Board, and all GSFP Committees.
  • Ability to supervise others in a work environment.
  • Ability to comprehend and interpret documents such as safety rules, operating and maintenance instructions.
  • Ability to comprehend and interpret laws, applicable regulations, handbooks, and policy and procedure manuals.
  • Ability to prepare routine reports and correspondence.

Education/Experience:

  • College degree and/or related experience.
  • Proven experience in a management position.
  • Proficiency in the use of computers.
  • Confident and natural communicator.
  • 3-5 years’ experience in Social Work or Community Services with past success preferred.
  • Experience in working with a Board of Directors is preferred.

Physical Requirements:

  • Ability to lift up to 50 lbs.
  • Ability to repetitively lift and bend.

Addendum A

Pantry Operations:

  • Manage the inventory and decide which foods are to be stocked in the pantry.
  • Purchase good quality food, utilizing the most cost-effective vendors.
  • Oversee the organization, weighing, sorting, and marking of food appropriately as it arrives.
  • Ensure guidelines for disposal of outdated food are followed.
  • Maintain cleanliness of the pantry and ensure food is stored appropriately, in compliance with all applicable guidelines.
  • Complete and submit required monthly reports to the Food Bank of Iowa.
  • Ensure accurate data gathering processes are in place to complete all Board requested reports.
  • Ensure compliance with Food Bank of Iowa, and any additional partnerships, requirements (ex: Civil Liberty, TEFAP, etc).
  • Ensure compliance with GSFP policies, handbooks, and procedures, as related to the Pantry.
  • Maintain maintenance logs on cooler, freezer, van, and other equipment for pantry.
  • Assist in coordinating food pantry events (such as food drives, donations, communication) with local partners including churches, schools, communities, and other organizations.
  • Manage GSFP email account, answer phone calls and keep computer programs up to date.
  • Ensure security and confidentiality of client data.
  • Train and schedule volunteers to help execute day-to-day operations of the food pantry, secure replacements, and fill in as needed (backups are required when key volunteers are unavailable).
  • Ensure proper coverage of food pantry operations during absence or time away from the pantry (backups are required when you are unavailable).
  • Manage and provide direction to volunteers that oversee different programs and functions offered by Good Samaritan Food Pantry; including, but not limited to Intake, Volunteer Coordinator, Rescue Food, Pantry Stockers, Kid’s Backpack Program, Rescue Drivers, Pre-bagging Food Team, and coordination of double bagging by the Women’s Club.
  • Provide pantry tour for donors, volunteers, and other visitors as needed.
